About this policy

Element runs University Padel Tour and uses this website to organise university padel competitions in Egypt. This policy explains the information handled through the Element website and university portal. Your university and the providers of services you use, including your ChatGPT account, have their own responsibilities and privacy notices.

Information we collect

Depending on how you use the website, we collect:

  • Brand sponsorship enquiries: company name, contact name, work email, optional phone number, partnership interest and message. These details are used to respond to the enquiry and are available only to authorised Element administrators.
  • Account information supplied through sign-in: account identifier, email address and available name.
  • University name and logo; representative name, position, official university email and phone number.
  • Player names, roster nicknames, student IDs, national IDs, division and team membership.
  • Student identification, medical clearance and other eligibility documents uploaded for review. Please provide only the requested clearance, not an unrelated medical history.
  • Registration status, agreement versions and acceptance times, signed agreements, payment receipts, payment amounts, dates and references.
  • Fixtures, scores, participation, rankings, photographs approved for publication, and messages exchanged with Element.
  • Security and administrative records, including audit events and request-limiting records. Hosting and sign-in providers may also process technical connection information.
03

Why we use information

We use information to establish accounts, verify university affiliation and player eligibility, prevent duplicate registrations, review medical clearance, manage tournaments and payments, communicate updates, publish competition records, handle requests and protect the service. Representatives must have authority to provide information about their players and must give players this notice. Where consent or another authorisation is required, it must be obtained separately; reading this policy alone does not provide that consent.

04

Private records and published information

Registration records and uploaded eligibility documents are restricted to the relevant university account and authorised Element administrators. National IDs, student IDs and medical documents are not included in public rankings or player profiles.

Approved competition information may appear on the website, including university names and logos, player names, divisions, team rosters, fixtures, results, rankings and achievements. Event photographs and other promotional uses are subject to the permissions applicable to that material and the participation agreement.

05

Service providers and sharing

The website uses OpenAI Sites and Cloudflare infrastructure for hosting and storage, ChatGPT for existing sign-in, Supabase for email/password authentication and Google account sign-in when enabled, Resend for email delivery, and Google Fonts for typography. Supabase handles login identifiers, password authentication, sessions and recovery; university registrations and documents remain in the existing website storage. Loading fonts sends a request from your browser to Google. Resend processes recipient addresses and authentication or registration email contents. These services may operate infrastructure outside Egypt.

We share information as needed to run these services, administer your university’s participation, respond to an authorised request or meet an applicable legal obligation. Element does not sell registration information or use identification and medical documents for advertising.

Provider information: OpenAI Privacy Policy, Cloudflare Privacy Policy and Google Fonts privacy information.

06

Security and retention

Uploaded private documents and identification values are encrypted in the application. Access checks restrict downloads and important administrative actions are recorded. No online system can guarantee absolute security.

Element administrators configure and review document retention. Documents become eligible for deletion after both the event and the upload are older than the configured retention period; deletion requires an administrator’s review. Identification records and duplicate-prevention fingerprints are retained separately for eligibility and future participation. Competition, payment, agreement and audit records may need to be kept for sporting integrity, disputes or applicable obligations. Contact Element to ask about the period applying to your record or to request deletion.

07

Your choices and requests

You may contact Element to request information about your records, access, correction, deletion or restrictions on their use, and to raise a concern. Where processing relies on consent, you may request its withdrawal. Requests are assessed under applicable law and may affect the ability to verify eligibility or administer participation. A request does not automatically remove competition history or records that must be retained. Do not upload another person’s information without the required authority and permissions.

08

Cookies and policy updates

Read our Cookie Policy for browser storage and sign-in information. We will update the date on this page when this notice changes. If a change requires a new permission, updating this page does not replace obtaining it.

09

Contact Element

Contact the Element organising team through University Portal → Messages. Players can also ask their university representative to forward a request. Include your registration reference where relevant, but do not put national IDs or medical documents in a general message. Element may need to verify your identity before acting on a request.
